Payment

The payment schedule varies depending on the trip. Sometimes a non-refundable deposit will be taken to confirm your spot.

Full payment must be made by the payment deadline in order to confirm your booking.

Payments paid online by card are subject to a 5% processing fee.
The fee is waived for payment made by e-transfer, cash, or in person Canadian debit card payments.

 

Terms & Conditions

We want you to have an amazing experience with Interactive Adventures. These terms help make sure everyone knows what to expect when booking and taking part in one of our adventures.

By booking a trip with us, you confirm that you have read, understood, and agreed to these Terms & Conditions.

If you’re booking for other people, you also confirm that you have their permission to accept these terms on their behalf.

1. Booking Your Adventure

Your booking becomes confirmed once Interactive Adventures, or an authorized travel agent, sends you written confirmation after receiving the required deposit.

Please check your confirmation as soon as you receive it. If anything is incorrect or missing, let us know right away.

You must be at least 18 years old to make a booking and are responsible for providing complete and accurate information.

2. Booking for Other People

If you make a booking for other people, you’ll be our main contact for the entire group.

This means you’re responsible for:

  • Making sure all payments are made on time.
  • Telling us about any changes or cancellations.
  • Passing important trip information along to everyone in your group.
  • Making sure the information provided for everyone is accurate and complete.
  • Making sure everyone in your group understands and agrees to these Terms & Conditions.

By booking for someone else, you confirm that you have their permission to do so.

Interactive Adventures isn’t responsible for problems caused by incorrect, incomplete, or missing information provided by you.

3. Medical Information & Fitness to Travel

Some adventures involve physical activity, remote locations, challenging terrain, or limited access to medical services.

You are responsible for deciding whether a trip is appropriate for you based on your health, fitness, abilities, and personal circumstances.

We may ask you to provide medical information if we reasonably believe it is necessary for your safety or the safety of others.

Please be honest and complete when providing medical information. If you have a medical condition that could affect your ability to participate safely, let us know before your trip.

We may ask for additional information or, where appropriate, confirmation from a medical professional.

If we reasonably determine that your physical or mental condition makes participation unsafe for you or others, we may refuse or end your participation in the trip. Any resulting costs are your responsibility.

If a required medical form or information isn’t provided by the deadline, we may cancel your booking and applicable cancellation fees may apply.

You are responsible for consulting your doctor or other qualified healthcare professional about whether you are fit to travel and participate in the activities included in your adventure. Interactive Adventures does not provide medical advice.

Some of our trips may take you to remote areas where medical care is limited or may not meet the standards you’re used to at home. Please consider this when deciding whether a trip is right for you.

4. Special Requirements

If you have special requirements, accessibility needs, food allergies, dietary restrictions, or other requests, please tell us when you book.

We’ll do our best to accommodate reasonable requests, but we can’t guarantee that every request will be possible.

Some activities, locations, accommodations, or transportation may not be suitable for people with certain mobility limitations or other requirements.

Special requests aren’t automatically part of your booking agreement, and we’re not responsible if a request cannot be accommodated.

5. Age Requirements

Unless a particular adventure says otherwise:

  • Participants under 18 are considered minors.
  • Minors must be accompanied by an adult.
  • One adult may supervise up to two minors.
  • The minimum age for minors is generally 12 years old.

Bookings involving minors may require additional review or approval.

Parents or guardians are responsible for making sure all required permissions, documents, and legal requirements are in place for a minor to travel.

Adults travelling with minors are responsible for their supervision, behaviour, safety, and wellbeing.

Interactive Adventures does not provide childcare or supervision services for minors.

6. Travel Insurance

Travel insurance is strongly recommended for every adventure.

Your insurance should provide appropriate coverage for the type of trip and activities you’re participating in, including emergency medical expenses, evacuation, and repatriation where appropriate.

We also recommend coverage for:

  • Trip cancellation.
  • Trip interruption.
  • Lost or damaged baggage.
  • Delays.
  • Emergency expenses.
  • Other unexpected costs.

Insurance isn’t included in the price of your trip unless specifically stated.

It is your responsibility to make sure your insurance covers the destination, activities, and circumstances of your trip.

7. Prices, Taxes & Surcharges

The price shown when you book will include applicable taxes unless otherwise stated.

Once your trip has been paid in full, we won’t increase the price except where these Terms specifically allow for a surcharge.

Occasionally, our prices or costs may change because of things outside our control, such as:

  • Transportation costs.
  • Fuel prices.
  • Government taxes or fees.
  • Airport or port charges.
  • Supplier price increases.
  • Currency fluctuations.
  • Government actions or regulations.

If a significant increase affects your trip, we’ll let you know as soon as reasonably possible.

If the increase is substantial, you may have the option to accept the new price or cancel your booking, subject to the applicable terms.

8. Trip Information & Changes

Trip dates, itineraries, activities, accommodations, and prices may change before booking.

Once you’ve booked, we’ll provide you with the most current information available.

We recommend checking your trip information before departure, particularly if you’ve booked well in advance.

Minor changes may occasionally be necessary because of weather, road conditions, availability, operational requirements, safety concerns, or other circumstances beyond our control.

9. Deposits

A deposit is required when you book.

Unless otherwise stated, deposits are non-refundable and are applied toward the cost of your trip.

If you book close to the departure date, full payment may be required at the time of booking.

The specific deposit amount and payment schedule will be provided when you book.

10. Information We Need From You

Some trips require additional information, such as:

  • Passport details.
  • Emergency contact information.
  • Medical information.
  • Transportation information.
  • Permit information.
  • Accommodation details.
  • Other information needed to arrange your trip.

You are responsible for providing accurate information by the deadlines we give you.

If you don’t provide required information on time, we may be unable to arrange certain parts of your trip. Any resulting costs or losses may be your responsibility.

11. Airfare

Unless specifically included in your trip description, airfare isn’t included in the price of your adventure.

If we help arrange flights for you, the airline’s own terms and conditions apply.

Flight schedules, delays, cancellations, baggage rules, and other airline matters are controlled by the airline.

Interactive Adventures isn’t responsible for changes or disruptions made by airlines.

12. Final Payment

Your booking confirmation will tell you when your remaining balance is due.

Unless otherwise stated, full payment is required 60 days before departure.

If your balance isn’t paid by the due date, we may:

  • Cancel your booking and retain the applicable deposit or cancellation amount; or
  • Require payment under different terms.

Bookings made within 60 days of departure generally require full payment at the time of booking.

Any special payment arrangements will be communicated to you when you book.

You are responsible for any fees charged by your bank, credit card company, payment provider, or other financial institution.

13. Cancelling Your Trip

We understand that plans sometimes change.

If you need to cancel, please contact us as soon as possible.

Trips are non-refundable. Please ensure that you will be available. If exceptional circumstances arise, we may be able to offer a partial refund or future credit at our discretion.

14. If We Cancel Your Trip

We work hard to make sure scheduled adventures go ahead.

If Interactive Adventures needs to cancel a trip before departure for reasons within our control, and the cancellation isn’t caused by your actions or negligence, we’ll provide one of the following options, where appropriate:

  • A comparable replacement trip.
  • A different trip of greater or lesser value, with the applicable price adjustment.
  • A refund of the amount paid for the cancelled trip.

Sometimes circumstances beyond our reasonable control make it impossible or unsafe to operate a trip. These circumstances may include severe weather, natural disasters, government restrictions, road closures, political events, serious health risks, or other events outside our control.

In these situations, we may offer:

  • A replacement trip.
  • A travel credit.
  • A refund, less any costs we cannot recover from suppliers.

We aren’t responsible for additional expenses you incur because a trip is cancelled, such as:

  • Flights.
  • Hotels.
  • Car rentals.
  • Parking.
  • Visas.
  • Vaccinations.
  • Lost wages.
  • Other non-refundable expenses.

If a trip has already started and circumstances require us to change or end it, we’ll make reasonable efforts to provide an appropriate alternative where possible.

15. Travel Documents

You are responsible for having all documents required for your trip.

This may include:

  • A valid passport.
  • Visas.
  • Permits.
  • Identification.
  • Travel insurance.
  • Medical or vaccination documentation.
  • Other documents required by governments or service providers.

Make sure your passport and other documents meet the requirements of every destination you’re visiting.

If you’re missing required documentation and this prevents you from travelling, any resulting costs are your responsibility.

16. Adventure Travel & Unused Services

Adventure travel doesn’t always go exactly according to plan.

Weather, road conditions, wildlife, mechanical problems, transportation delays, closures, strikes, illness, government restrictions, or other unexpected events may require us to change the route, schedule, accommodation, activities, transportation, or other parts of your trip.

We’ll always try to make reasonable arrangements while keeping your safety and overall experience in mind.

If you choose not to participate in part of the trip, or you’re unable to participate because of your own actions, no refund will normally be provided for unused services.

17. Changes to Your Trip

Changes made by Interactive Adventures

Sometimes changes are necessary before or during a trip.

If we make a significant change to your itinerary before departure, we’ll let you know as soon as reasonably possible.

Depending on the circumstances, you may be offered:

  • The revised itinerary.
  • A comparable alternative.
  • An alternative of greater or lesser value with the appropriate price adjustment.
  • A refund where applicable.

Once a trip has started, changes may be necessary because of weather, safety, operational issues, availability, or other unforeseen circumstances.

We recommend travelling with enough financial flexibility to cover reasonable unexpected expenses.

Changes made by you

If you need to make a change to your booking, contact us as soon as possible.

Changes are subject to availability and our approval.

Additional costs and an administration fee may apply.

Name changes may also be subject to approval and additional costs.

Changes generally cannot be made within 10 days of departure.

A cancellation isn’t considered a booking change and will be handled under the cancellation policy.

18. Understanding the Risks of Adventure Travel

Adventure travel is exciting partly because it can take you outside your normal routine.

That also means there can be risks.

Depending on your trip, you may encounter:

  • Uneven or difficult terrain.
  • Remote locations.
  • Wildlife.
  • Water activities.
  • Weather changes.
  • Physical activities.
  • Transportation by boat or other vehicles.
  • Limited medical services.
  • Different safety standards.
  • Different local laws and customs.
  • Activities that carry an inherent risk of injury.

By joining an Interactive Adventures trip, you acknowledge these risks and agree to take reasonable responsibility for your own safety.

You must follow all safety instructions from our guides and staff and properly use any required safety equipment, such as helmets, harnesses, flotation devices, and seatbelts.

If you ignore safety instructions or warnings, we aren’t responsible for resulting injury, loss, or damage to the extent permitted by law.

Behaviour

We want everyone to have a great experience.

You must follow applicable laws and behave in a respectful and safe manner.

If your behaviour creates a serious safety issue, puts yourself or others at risk, breaks the law, or significantly interferes with other guests’ enjoyment, we may ask you to leave the trip.

If you’re removed from a trip because of your behaviour, you won’t normally receive a refund and you’ll be responsible for your own costs of getting home and arranging accommodation or other services.

Damage to Property

You’re responsible for damage, destruction, theft, or excessive cleaning costs caused by you.

If you notice existing damage to accommodation, equipment, vehicles, or other property, please report it to our staff or the relevant provider as soon as possible.

Complaints

If something goes wrong during your trip, please tell us as soon as possible.

Speak with your guide, trip leader, another Interactive Adventures representative, or contact our office.

Giving us the opportunity to address an issue while you’re still travelling gives us the best chance of fixing it.

If you have a complaint after your trip, please provide it to us in writing within 30 days of the end of your trip.

19. Third-Party Suppliers

Some parts of your adventure may be provided by independent businesses, such as:

  • Hotels and accommodations.
  • Airlines.
  • Boat operators.
  • Transportation companies.
  • Activity providers.
  • Local guides.
  • Restaurants.
  • Other tourism operators.

We carefully select our suppliers, but they are independent businesses and we don’t control their day-to-day operations.

Their own terms and conditions may apply to the services they provide.

To the extent permitted by law, Interactive Adventures isn’t responsible for the independent actions or omissions of these third-party providers.

20. Optional Activities & Extras

Sometimes we’ll recommend or help arrange activities, meals, transportation, or other experiences that aren’t included in your trip.

These are considered Optional Extras.

If you choose to participate in an Optional Extra, the service is provided by the third-party business offering it.

We may help you make arrangements, but we’re not responsible for the third party’s services, actions, omissions, injuries, losses, or damages, to the extent permitted by law.

21. Our Liability

We take your safety and experience seriously, but some things are outside our control.

To the extent permitted by law, Interactive Adventures isn’t responsible for losses, delays, injuries, damages, cancellations, or other problems caused by:

  • Independent suppliers.
  • Airlines or transportation providers.
  • Weather.
  • Natural disasters.
  • Government actions.
  • Strikes.
  • War or civil unrest.
  • Illness or disease outbreaks.
  • Mechanical problems.
  • Road or route closures.
  • Theft.
  • Other events outside our reasonable control.

Nothing in these Terms is intended to remove any legal rights or protections that cannot legally be excluded.

Where we are legally responsible for a loss, our liability will be limited to the extent permitted by applicable law.

We aren’t responsible for indirect or consequential losses such as lost income, lost opportunities, loss of enjoyment, or similar damages, except where applicable law says otherwise.

22. Events Outside Our Control

Sometimes things happen that nobody can reasonably prevent or predict.

These may include:

  • Severe weather.
  • Wildfires.
  • Floods.
  • Natural disasters.
  • Government restrictions.
  • War or civil unrest.
  • Strikes.
  • Serious illness or disease outbreaks.
  • Road or border closures.
  • Mechanical failures.
  • Political events.
  • Other events beyond our reasonable control.

These are sometimes referred to as Force Majeure events.

If one of these events makes a trip unsafe or impractical, we may need to delay, change, suspend, or cancel the trip.

23. Photos & Videos

We love sharing the experiences people have on our adventures.

While you’re travelling with us, photos or videos may be taken by Interactive Adventures, our representatives, or other participants.

By participating, you agree that Interactive Adventures may use photos or videos in which you appear for promotional, marketing, social media, advertising, or other business purposes without additional payment to you.

If you have a specific concern about appearing in promotional material, please let us know before or during your trip and we’ll do our best to accommodate your request.

24. Privacy

We need to collect certain personal information to organize and operate your trip.

We only collect, use, and share information that is reasonably necessary to provide the services you’ve requested and to meet our legal or operational obligations.

Your information may need to be shared with relevant third-party suppliers, such as accommodations, transportation providers, activity operators, or other businesses involved in delivering your trip.

Our privacy practices are governed by our Privacy Policy.

25. If Part of These Terms Doesn’t Apply

If a court determines that any part of these Terms & Conditions isn’t enforceable, that part will be limited or removed only to the extent necessary.

The rest of the Terms will continue to apply.

26. Who These Terms Apply To

These Terms apply to you and Interactive Adventures, as well as our respective successors and permitted assigns.

27. Applicable Law

These Terms and your booking agreement are governed by the laws of British Columbia, Canada, unless applicable law requires otherwise.

Any disputes will be handled by the courts that have appropriate jurisdiction in British Columbia.

28. Changes to These Terms

We may occasionally update these Terms & Conditions as our business, trips, or legal requirements change.

The most current version will be made available by Interactive Adventures.

Any updated terms will apply as permitted by law and will not override terms that legally apply to an existing booking where those terms cannot be changed.

We recommend checking the current Terms & Conditions before your trip.

We know nobody wants to read a giant list of rules before going on an adventure, so here’s the short version:

1. Read your booking confirmation.
Make sure your name, dates, trip details, and other information are correct.

2. Be honest about medical or accessibility needs.
Tell us about anything that could affect your ability to safely participate.

3. Get travel insurance.
Make sure it covers your destination and the activities you’re doing.

4. Bring the right documents.
You are responsible for passports, visas, permits, and other required documentation.

5. Adventure travel comes with some risk.
Follow your guide’s instructions and use safety equipment properly.

6. Plans can change.
Weather, road conditions, safety issues, suppliers, and other unexpected events can sometimes change an itinerary.

7. If something goes wrong, tell us right away.
We can’t fix a problem we don’t know about.

8. Check cancellation deadlines before booking.
Cancellation policies can vary between adventures and optional services.

9. Be respectful.
We want everyone to have a safe, fun and memorable experience.

10. Most importantly — have fun!

These Terms are here so everyone knows what to expect. Our goal is to give you an incredible adventure while doing everything reasonably possible to keep you safe, informed, and comfortable along the way.
